I am looking for ideas on scheduling and recruiting when patient base is spread across many health center clinics. We are a large health center with several locations. Currently, we have Centering groups being run from two clinic sites where the midwifery practices are primarily located. We may soon be dispersing CNM Providers to multiple sites, creating midwifery pods at all locations rather than two sites only. It is already challenging in the more closed setting to keep all staff informed and onboard with promoting and recruiting for Centering, how is this handled when working with multiple sites? When a patient is checking-out from their NOB appt how would they be routed or flagged as centering eligible? - Is anyone using central scheduling to enroll patients into groups or do you use more of a referral program?
- Are patients who are coming to a certain site willing to travel to another clinic/part of town to do Centering?
- How else do large hospitals or health centers make this work? Things I am not aware of to ask the question?

We are 10 nurse midwives working out of 3 sites, offering Centering at only one site. What has helped us with recruiting and scheduling has been a shared computer drive that all can access from the different sites. We have an excel document with a sign up table for each group. We list name, DOB, EDD, telephone # and if schedule and info were provided, and which CNM signed them up. There is also a wait list if the group fills up. When a midwife confirms a pregnancy or does a NOB or ROB visit, she can add the mom to the group sign up sheet on the shared drive. Our moms have generally been willing to come to the site where Centering is offered.
I have a scheduling question as well. Maybe this has been addressed elsewhere, and I haven't found it. I currently work with 10 midwives in a rotation to schedule upcoming groups according to that midwife's availability. I would like to move to a calendar template for the coming year, setting up a schedule and then having individual midwives sign up to facilitate a group. I'm trying to streamline the process, and also make sure that we are offering groups at the most popular times for moms. I'm wondering how others create their Centering schedules? Any suggestions appreciated!

Our health center has three locations, but we only offer Centering in 2. Myself and the OB Nurse Care Manager have it slightly easy enough to split up the OB sessions so that we are both available for the sessions at each site during the week. That way, every NOB patient is getting seen at the specific appointment and being recruited for the group they qualify for. If neither of us are available, we have also tried to train our hub clericals to recruit if they know the upcoming groups are open (that's still a work in progress). In regards to the scheduling of groups and rotating provider facilitators, I created a Google Sheets document that consists of monthly calendars and a color legend for each provider that is trained. They all have access to the document and can arrange as needed, or at least let me know what does and doesn't work for them. It took me about 2 weeks and several templates to get something that worked for us, but now it is a tool we use every week to see what our next week is going to look like and have ample time to plan future groups at least 3 months in advance. That is helpful information, Karen! I love the idea of having the facilitators arrange their own schedule on a shared Google sheet. I am going to try that. Thank you.
