Anyone send a welcome letter to patients to assist with compliance for no show rates? If so would you be willing to share ideas? We send a standard rather boring letter and I'm looking for ideas to brighten this up.

I am passionate about what I do with our Centering Program at Kaiser Permanente. I love the lifelong friendships that I build while going thru the journey of pregnancy for all of my patients. I love the personal care that patients receive and I love to keep our groups fun and current. Coming up on being accredited for a year in Jan 2018 and we have grown so much. Already starting 2 groups a month starting Dec 2017, beat our goal to start 2 by a month. #MicDrop

Hi there, yes once a patient is signed up for Centering we do send them a welcome letter, ours is good but still have a few things we're going to tweak. So ours basically states that we are excited that they have CHOSEN (key word because lets face it the patients do have a choice on which care they have, but we want it to be CENTERING ) I have also put together all of the dates that they will have Centering, which time and where it is located. We also give them one in clinic when they say they are interested but repetition is good, so we let them know the dates. We also give them a little more information about Centering and we inform them that parking is FREE (our hours of Centering are 5-7 pm) during the week and patients don't pay for parking after 7. Then our Saturday Centering sessions parking is always free. We also inform them what past groups have said (whether it be informative, a great way to bond with other couples and of course what we want to hear is that CENTERING IS THE BEST and that they would recommend it to any new parent. We do also inform them that they can bring their support person/spouse but unfortunately we are unable to have children attend. I don't have the letter in front of me right now but I can give you more details when I am in office tomorrow. Then we do tell them if they are or are not interested in Centering to contact us and let us know so we can schedule them. Our letter says that (which we need to change, in my opinion) because I feel as Centering Lead Coordinator, it should be my job to contact the patient, I feel it is better patient care when it shows we are reaching out to the patient instead of the patient trying to reach us. About 2 wks before the 1st session starts I make sure all my patients are scheduled, I verify that none of them have miscarried (unfortunately it happens) then I call the patients personally and remind them of their first Centering Pregnancy session, answer any questions they may have ect. I also bring to session 1 the sheet of their group sessions and the dates, so if they by any chance lost the other one or ones they have gotten they can grab one. They really have liked having all the dates on the sheet of paper including their Reunion. (I also put on bright colored paper so its easy to see and find) They are very grateful for the reminder call and I inform the scheduler that they confirmed and she schedules the rest of the sessions. Lack of communication is probably the BIGGEST reason, why patients "opt out" of Centering Pregnancy. In my opinion that is unacceptable. Patients deserve our undivided attention, they get it in Centering sessions and the expectation is they get it all the time, as they should. They are the reason why we are doing what we do and LOVE what we do. I hope this helps a bit, like I said our welcome letter is "Under Construction" . ok John I will send a picture to you on Monday well I will post I guess for everyone to see. I was going to send it to someone also to see if you guys approved with we can use the Centering Pregnancy Logo at the bottom as well as our Grouphealth/Kaiser Permanente logo? Not sure if that is possible but I will try to post on Monday when I am at work and Monday are my Centering days. So I will post. then

Hi Centering family, I believe I posted our welcoming letter from Chief Andrew Isaac Health Center (CAIHC) in Fairbanks, Alaska. I wanted to add that I would appreciate any constructive feedback! I have been using this letter since we started in 2015! I would too love to see other clinics letters as well! I hope this helps you all in some way!
